We are seeking a proactive and detail-oriented Administration Assistant to support a Financial Adviser in delivering exceptional client service and efficient office operations. Responsibilities

• Assist in preparing comprehensive reports and analysing financial data to support planning activities
• Manage client records and ensure all documentation is accurate, organised, and up-to-date using Microsoft Office applications such as Word, Excel, and Outlook
• Provide exceptional customer service by responding promptly to client enquiries via email or phone
• Support the Financial Adviser with scheduling appointments, follow-ups, and maintaining the calendar
• Conduct basic analysis to identify trends or discrepancies within financial data sets
• Draft correspondence, presentations, and other documentation with clear and professional communication skills
• Organise files, documents, and other administrative materials efficiently to facilitate smooth office operations
• Utilise IT skills to troubleshoot minor technical issues related to office software or hardware

Experience

• Previous administrative experience is preferred but not essential; training will be provided for specific tasks
• Strong report writing and analysis skills are desirable for supporting financial planning activities
• Familiarity with financial services or related sectors will be advantageous
• Excellent organisational skills with the ability to prioritise tasks effectively and manage time efficiently
• Proficient in Microsoft Office suite, including Word, Excel, and Outlook; knowledge of IT systems relevant to office administration is beneficial
• Outstanding communication skills—both written and verbal—are essential for liaising with clients and team members
