Operations & Administration Intern

About the Role

We are looking for a proactive and adaptable Operations & Administration Intern to support the day-to-day running of our business. This role sits at the heart of our operations, offering exposure across HR, property management, administration, and business support.

You will work across teams to coordinate processes, support operational tasks, and contribute to improving efficiency and service quality. This is an excellent opportunity to build a strong foundation in operations management in a fast-paced environment.

Key Responsibilities

Operations & Property Management Support

• Assist with tenant billing administration and operational record management.
• Support check-in and check-out coordination to ensure a smooth customer experience.
• Liaise with local suppliers and service providers to coordinate operational needs.
• Monitor daily operational activities and support issue resolution.
• Collaborate with different departments to maintain efficient business operations.

Administration & Finance Support

• Coordinate cleaning schedules and maintain service records.
• Assist with payment collection tracking and administrative follow-up.
• Manage office petty cash and Wise Card expense records.
• Prepare monthly expense summaries and administrative reports.
• Maintain organized documentation and support process improvements.

Systems & Process Coordination

• Update and maintain operational records across internal systems.
• Support workflow optimization and process standardization initiatives.
• Assist in preparing reports and dashboards for management review.
• Contribute to improving cross-functional communication and operational efficiency.

Human Resources Support

• Assist with employee attendance and leave management through internal HR systems.
• Support monthly attendance reporting and data verification.
• Conduct first-level review of leave requests and maintain accurate employee records.
• Assist with workforce planning and rota scheduling during peak operational periods.
• Support recruitment activities, including job posting, CV screening, interview coordination, and onboarding preparation.

Requirements

• Currently pursuing or recently completed a degree in Business Administration, Management, Human Resources, Hospitality, Operations, or a related field.
• Strong organizational skills and attention to detail.
• Excellent communication and coordination abilities.
• Comfortable working with spreadsheets, reports, and digital management systems.
• Proactive, responsible, and able to manage multiple tasks simultaneously.
• Proficiency in English; additional language skills are a plus.
