As our business continues to grow, we are looking for a highly organised and proactive Project Administrator to support the coordination and delivery of projects across the company.
Role Overview
The Project Administrator will provide administrative and operational support to the projects team, helping ensure projects are delivered efficiently, professionally, and to a high standard.
This role will involve coordinating project administration across facility developments, refurbishment works, and wellness space projects. The successful candidate will act as a key point of communication between clients, suppliers, contractors, and internal teams throughout the project lifecycle.
The role is suited to someone who thrives in a fast-paced environment, can manage multiple priorities, and has strong organisational and communication skills.
Key Responsibilities
· Provide administrative support to the projects and operations teams
· Assist with scheduling installations, deliveries, contractors, and site activities
· Coordinate project documentation including quotations, purchase orders, delivery schedules, and project records
· Maintain accurate project trackers, spreadsheets, and internal systems
· Liaise professionally with clients, suppliers, contractors, and internal teams regarding project progress and updates
· Monitor project timelines and assist with tracking key milestones and deadlines
· Support procurement and ordering of equipment, materials, and project-related services
· Assist with managing supplier, contractor, and compliance documentation
· Prepare meeting notes, reports, and project updates
· Handle project-related enquiries via phone and email
· Support the successful handover and completion of projects
· Assist with general operational and office administration where required
Skills & Experience
· Previous experience in a project administration, coordination, or business support role
· Excellent organisational and multitasking skills
· Strong written and verbal communication abilities
· High attention to detail and accuracy
· Proficient in Microsoft Office, particularly Excel, Word, and Outlook
· Ability to manage competing priorities and work independently
· Experience within construction, fit-out, facilities management, wellness, or fitness-related sectors would be advantageous but not essential
· Experience using project management or scheduling software would be beneficial
